# Adding Requirements to Venue Facility Types - Pro Venues

## Venue requirements let a parent organization require documentation (for example, a lighting report) for facilities of a given type and capacity used by its child organizations.

 

**Overview:** 

**The parent organization creates and reviews requirements; each child organization or club submits the required information for its facilities.**

This guide is split by role: **Section 1** covers the parent organization (the organization that sets the requirement), and **Section 2** covers the child organization or club (the organization that submits).

### **Section 1:** Parent Organization (Requirement Owner)

**Step 1:** 

- Select Venue \> Venue
  
    - Select Venue Requirements (top toolbar)
    - Add Venue Requirement (+ Add Venue Requirement) on the right hand side

**Step 2:**

- Configure the requirement with the following:  
    - **Name** – the name child organizations will see (e.g., Lighting Report Requirement).
    - **Min / Max Capacity** (optional) – applies the requirement only to facilities within that capacity range.
    - **Facility Types** – the facility types the requirement applies to (e.g., Stadium).
    - **Child Orgs That Can Review** (optional) – child organizations permitted to approve or deny their own submissions.

**Step 3:**

- **Build the submission form.** 
    - Define what the child organization must submit. On the Venue Requirements list, click the **requirement’s ID**

- - Open the **Form Elements** tab
    - Create **New Form Element** for each item  
          - e.g., File Upload, written question

**Step 4:** 

- **Monitor Compliance using Audit Report**
  
    - Select **Audit Report** within *Venues*
    - Filter by **Requirement** & **Status** to see missing facilities that have a requirement of one of the following statuses: *Missing, Pending Review, Expiring Soon, Expired, Denied, or Approved*

**Audit Report Status Key:**

| **Audit Report display** | **Status** | **Meaning** |
| --- | --- | --- |
| Red “Required” badge | Missing | No submission on file for this facility. |
| Orange “Pending” badge | Pending | Submitted by the club; awaiting review. |
| Date in yellow | Expiring Soon | Approved, but expires within 30 days. |
| Date in green | Approved | Approved and valid for more than 30 days. |
| Shown in red | Expired | Approval has passed its expiration date; a new submission is needed. |
| Shown in red | Denied | Submission was reviewed and rejected. |

**Step 5:** 

- **Find pending submissions.** 
  
    - In the Audit Report, set Status to **Pending** and click **Search**.
    - Click the facility name to open

**Step 6:**

- **Open or remove the submission.** 
  
    - In the facility’s Venue Requirements section, click the requirement name to review the submission.
    - To send it back, click **Remove**; the child organization will then need to resubmit.

**Step 7:**

- **Approve or deny and set the expiration date.** 
  
    - In the review window, set the **Status** (Pending, Approved, or Denied) and the **Expiration Date**, then save.

**Step 8:**

- **Track expirations** 
    - Approved requirements display their expiration date in the Audit Report:
    - **Yellow** if expiring within 30 days
    - **Green** if more than 30 days away

**Step 9:**

- **View Submission History**
  
    - When you remove a submission and the club resubmits, earlier submissions are retained.
    - Click the **submissions** count next to the requirement name to open the Submission History, which shows each submission’s date, submitter, status, expiration, and files.

### **Section 2:**  Child Organization/Club

**Step 1:**

- **View your Facilities**
  
    - From the Dashboard select Venues \> Facilities in the left menu

- - Select the Facility that needs the requirement added

**Step 2:** 

- **Open the Requirement**
  
    - Scroll to the Venue Requirements Section 
          - Requirements are grouped by the *Parent Organization* that set them
          - Outstanding Items show a Red **Required** status \> Select the Requirement Name

**Step 3:** 

- **Complete and Submit** 
    - Fill in each field (e.g., upload the file, answer the question, etc.)
    - Click Submit 
          - The status will change to **Pending** until the parent organization reviews

**Note:** If the parent organization granted your club review permission, you can also set the status and expiration date on your own submission.

**Step 4:** 

- **After Approval**
  
    - Once approved, the submission is *locked* 
          - The requirement name cannot be clicked; the status and expiration date are then displayed

**Step 5:**

- **If Resubmission is required**  
    - If the parent organization removes your submission, the requirement reopens 
          - Repeat [Step 2 and Step 3](https://support.gotsport.com/adding-requirements-to-venue-facility-types#step2) to submit again
          - Previous submissions remain on record in submission history
